Getting started with Doktor
A short guide for the first week: setting up the clinic, then what the receptionist, the doctor and the nurse do each day. Doktor works on a computer, tablet or phone, in Arabic or English.
Admin: set up the clinic (about 20 minutes)
- Create the clinic from the home page with your name, email and a password. You become the clinic's admin.
- Settings: check the clinic's name, phone and address (they're printed on prescriptions and receipts), add your logo, and set the dollar exchange rate.
- Settings → Type of clinic: choose General practice, Dental, or General and dental. Dental turns on the tooth chart, treatment plans and chairs.
- Settings → Price list: add what you charge for, with prices and how long each takes. Appointments and invoices use them.
- Staff: copy the clinic code and give it to each colleague. They sign up with "Join your clinic", then you approve them here and give each one a role: doctor, nurse, receptionist or admin.
- Each doctor sets their working hours (Appointments → Working hours) so the calendar shows when they're in and "Next available" finds real free times.
- Settings → Backup: download a backup once a week and keep it somewhere safe. The Today page reminds you when it's due.
Receptionist: booking and the front desk
- New patient: Patients → New patient. A name and phone number are enough to start; the doctor adds the medical details.
- Book: Appointments → New appointment, or drag across empty time on the calendar. "Next available" picks the doctor's first free time.
- The day before: on Today, "Remind tomorrow's patients" opens WhatsApp with each reminder written. Press send in WhatsApp.
- When the patient arrives, press Check in. They move to the waiting list and the doctor sees them.
- Billing: after the visit, open New invoice (or Take payment on a dental plan). Payments can be in Syrian pounds or dollars.
- Made a mistake on a bill? Void it rather than deleting. Nothing is ever deleted in Doktor, so the history stays complete.
Doctor: seeing patients
- Today shows your patients in order: who's waiting, who's in the room, and who's done.
- Press Call in, then Start visit. Write the complaint, findings and diagnosis, and add the prescription.
- Doktor warns you if a medicine may clash with the patient's allergies. Use "Save as template" for prescriptions you write often.
- Medical background, vital signs, lab results and their trend charts are on the patient's page.
- Set a follow-up when the patient should come back. If they don't book, they appear on Today so reception can message them.
- Press Finish when the visit is done.
- Block time on the calendar (Block time, or drag) when you're away or busy, so nobody books you then.
Dental clinics
- Teeth tab: mark findings on the tooth chart, attach X-rays and photos to teeth, and compare before and after.
- Build a treatment plan, print the estimate for the patient, give a discount, and split it into instalments.
- Book each procedure into a chair. A chair can't be double-booked.
- Dental alerts (blood thinners, diabetes, heart conditions and more) show at the top of the Teeth tab.
- Six-month recalls are set when cleaning or check-up work is done, and appear on Today when due.
Nurse
- Check patients in, take vital signs (blood pressure, sugar, weight and more), and read medical records.
- Nurses can't write diagnoses or see billing.
Who can see what
- Admin: everything, including staff and settings.
- Doctor: appointments, medical records, visits and prescriptions. No billing.
- Nurse: appointments, the waiting list, vital signs, and reading medical records.
- Receptionist: appointments, patients' contact details and billing. No medical records.
- Every change is recorded with who made it and when.
Good habits
- Each person uses their own account. Don't share passwords, and sign out on shared computers.
- Download a backup every week (Settings → Backup).
- If something goes wrong on screen, Doktor records the error automatically so it can be fixed. Press "Try again" or reload the page.
